Community platform migration

Ready to move your community off a hosted platform?

Own the platform your community runs on. FormulatedBy helps community builders move from Circle, Mighty Networks, Kajabi Communities, Skool or another hosted platform into a custom, branded experience built around their members, content, events and business model. Your custom platform becomes the home base, while existing channels can stay connected where their APIs and permissions allow.

Built for communities at every stage. Communities with more than 1,000 members receive a tailored architecture and migration plan.

Why it matters

Why own your community platform?

Moving platforms is not just a new tool. It is a chance to give your community a home that fits it.

Your brand and domain

Members arrive at a community that looks, reads and lives like your organization, on your own domain.

A member journey built for how you work

Onboarding, spaces and programming shaped around your members, not around a template.

Control over what comes next

You decide the roadmap, data structure, permissions and integrations as the community grows.

No predetermined structure

No need to bend your community into one vendor's idea of how a community should be organized.

Capabilities

What we can build

A custom community platform built around your members. The final feature list is agreed during scoping.

01

Community

Spaces, feeds, posts, comments, reactions, member profiles and a searchable directory.

02

Communication

Direct messaging or chat when scoped, announcements, email, notifications and digests.

03

Learning and content

Courses, lessons, files, resources, recordings and progress tracking.

04

Events and live

Event pages, RSVPs, ticketing, recordings, and live video or breakout rooms via integration or a separately scoped build.

05

Monetization

Paid memberships, subscriptions, gated access and checkout.

06

Engagement

Onboarding, segmentation, workflows, automations and gamification.

07

Intelligence and admin

Search, analytics, moderation, roles, permissions and member administration.

08

Integrations

Payments, CRM, email, calendar, APIs and AI-assisted experiences.

Connected community

Own the hub. Keep the channels.

Your members do not have to abandon every familiar channel on day one. Your custom platform becomes the system of record for your brand, member experience, content, access, data, workflows and AI-enabled tools.

Slack

Connect approved apps, account linking, notifications, webhooks and selected workflows so Slack can remain part of the community experience.

Discord

Connect accounts, bots, roles, notifications, webhooks and approved workflows while your owned platform provides the branded home base.

Facebook Groups

Keep an existing Facebook Group as a companion discovery or engagement channel, with links and approved Meta workflows where available. If the community owner can lawfully provide a usable member or content export, we can map and import eligible data into the new platform. Direct group synchronization depends on Meta’s current APIs and permissions.

We define each connection during the audit so members get continuity without making a third-party channel the center of your community.

We can rebuild the functionality. The audit determines which historical data can be migrated automatically and which content should be rebuilt or carried over in an agreed batch.

Migration scope

What can move from your current platform?

This is a managed migration. We map the functionality first, then confirm what your current platform lets you export and what you are authorized to transfer.

Member records and profile fields
Migrated when available in usable exports and with your authorization.
Community structure and spaces
Mapped and rebuilt around your member journey.
Priority posts, resources, files and recordings
Migrated in an agreed batch where source files or usable exports exist.
Events
Recreated, or linked to your chosen registration system.
Paid memberships and subscriptions
Require a separate payment migration plan and may require member action. Never assumed to transfer automatically.
Historical discussions
Assessed first. Not every thread, reaction, direct message, URL or activity record can be reproduced.

Process

How we migrate your community

Your current community can generally remain available while the replacement is prepared, subject to the final migration plan.

  1. 01

    Audit

Review your current community and the exports available to you.

  2. 02

    Map

Define the member journey, spaces, content, roles and must-have functionality.

  3. 03

    Build

Create the new platform in a private staging environment.

  4. 04

    Migrate

Move the agreed member and priority-content batches.

  5. 05

    Launch and hand over

Test, communicate the cutover, launch, train administrators and hand over.

Fit

Is this a fit?

Good fit

  • An established community of any size, with scope matched to your members, content, integrations and traffic
  • An active owner or community team
  • Clear priority spaces, content and programming
  • You want a branded platform on your organization's domain
  • You're willing to launch an MVP and add enhancements later

Not the right fit yet

  • You need every historical interaction and private message transferred automatically, regardless of export availability
  • No rights or consent to migrate member data
  • Native iOS and Android apps are required for the initial launch
  • Ownership is undefined, or there is no decision-maker

Why FormulatedBy

Community builders, not just developers.

We have spent 25+ years in B2B technology marketing, AI and data. Our community-building work includes I Want Her Shoes, AI Loves Data and the Applied AI Summit. We design platforms around how members actually show up, and empower community managers and leaders to own their platform, data, member experience and AI-enabled technology.

FAQ

Questions about migrating community platforms

Can you recreate the functionality of my current community platform?

We can rebuild the core functionality and member experience your community relies on, including spaces, discussions, profiles, courses, events, payments, workflows, notifications, gamification, search, analytics and administration. We do not copy any vendor’s proprietary code, and we do not promise that non-exportable historical data transfers automatically. During the audit, we create a feature-parity map and a data-migration plan before the build begins.

What data can be migrated?

It depends on what your current platform lets you export and what you are authorized to move. Member records, profile fields, priority posts, resources and files are typical candidates when usable exports exist. We confirm what is available for your community during the audit.

Will members need new passwords?

Usually, yes. Passwords are not something we can transfer between platforms, so members typically set up access on the new platform through an invitation or sign-in link. We plan that communication with you so it feels like a welcome, not a chore.

Can my current community stay live during the build?

Generally, yes. The new platform is built in a private staging environment while your current community keeps running. The exact cutover timing is set in the final migration plan.

What happens to paid memberships?

Paid memberships and subscriptions need their own payment migration plan. Depending on your payment provider and setup, members may need to take action, such as re-entering payment details. We never assume subscriptions transfer automatically.

Can we keep our Slack, Discord or Facebook Group?

Yes. The custom platform can become your central, owned hub while Slack or Discord remain connected through approved integrations such as apps, OAuth, bots, webhooks and notifications. A Facebook Group can remain a companion channel. If the community owner can lawfully provide a usable member or content export, we can assess, map and import eligible data. What transfers depends on the fields Facebook provides, member consent, privacy requirements and Meta’s current terms and permissions. Passwords and private messages do not transfer. We confirm the available connections and migration scope during the audit.

Can you support communities with more than 1,000 members?

Yes. We are happy to work with communities above 1,000 members. Larger communities typically need more detailed architecture, data migration, performance planning, permissions, integrations and launch support, so we scope the platform and investment around the community’s actual requirements.

How long does a migration take?

It depends on the size of your community, the content you want to move and the features in your first launch. We give you a timeline estimate after the audit, rather than a universal schedule.

Do I own the finished platform?

After payment, you control your brand, content, member data and the project-specific deliverables we create for you. Third-party services the platform relies on, such as hosting, email or payments, remain subject to their own terms, and FormulatedBy keeps its reusable methods and know-how.

Your community has outgrown rented space. Let's build its next home.

Migrations go best with room to plan. Start before a renewal, major launch, new cohort or event turns your timeline into a hard deadline.
